Position Summary:

The Assistant to the COO's primary responsibility is to provide high quality administrative support to the COO. The person in this role must exhibit a high degree of professionalism represented by discretion, interpersonal interactions, appearance, and written expression.

Key Functions & Responsibilities:

  • Manage the COO's workflow and priorities by managing her schedule and anticipating steps ahead.
  • Prepare for and follow up on internal and external meetings. When needed participating directly in external meetings and following up with the relevant parties.
  • Respond and manage correspondence with vendors.
  • Manage special projects assigned by the COO.
  • Prioritize and manage multiple projects simultaneously and follow through on issues in a timely manner.
  • Attend, take and prepare minutes, and make logistical arrangements for meetings.
  • Prepare binders and information as needed.
  • Create and maintain files and other organizational systems
  • Compose and edit professional correspondence and reports as directed.
  • Prepare presentation content as needed.
  • Participate in the execution of project implementation and rollout.
  • Maintain the highest degree of accuracy, quality and efficiency.
  • Provide a high degree of judgment, discretion and a considerable knowledge of the organization, its policies and staff.
  • Maintain confidentiality and use of discretion in all interactions.
  • Respond to routine correspondence and field variety of inquiries via email and telephone.
  • Provide various levels of administrative support to all c-suite executives as needed.
  • Other duties as assigned.


Minimum Qualifications:

  • Two (2) years administrative experience
  • BA/BS Degree
  • Demonstrated skills in managing issues involving high levels of sensitivity and confidentiality.
  • Desire to participate in a wide variety of projects and issues.
  • Demonstrated good judgment in prioritizing and handling complex demands and sensitive issues.
  • Strong communication, listening, interpersonal, oral and written communication skills.
  • Detail oriented; organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility.
  • Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.
  • Ability to complete high volumes of tasks with minimal guidance or supervision and deadline sensitivity.
  • Proficient in MS Office, including Word, Excel, PowerPoint and Outlook.
