Position Summary:

Administrative Assistant is responsible for providing general office functions as well as assisting the  Support Center team  with specific tasks. The person in this role must maintain professional appearance, decorum and confidentiality at all times.

 

 

 

 

 

 

 

 

Key Functions & Responsibilities:

  • Facilitates communication by routing incoming calls to appropriate party's extension or voice mailbox
  • Communicates professional image by greeting and directing visitors appropriately
  • Open, sort, and distribute in-coming mail; arrange for FedEx pick-up or other outgoing mail
  • Distribute incoming faxes
  • Maintain copier, postage machine, fax supplies, printer supplies & copy room
  • Follow security procedures, monitoring log book, and issuing visitor badges
  • Maintain meeting room reservations
  • Maintain all room names and numbers
  • Manage Key Receipt Log
  • Build effective working relationships with internal and external staff and partners
  • Coordinate and order office and kitchen supplies and maintain inventory for the Support Center
  • Maintain conference rooms, reception area, supply room, and break room in neat/clean order
  • Open and stamp accounts payable invoices
  • Open and log in checks daily
  • Assist with coordination of janitorial services for Support Center
  • Assist with coordination of equipment and technical services for the Support Center
  • Assist with event planning and coordination
  • Serve on committees and teams as needed
  • Prepare new hire folders and new hire badges
  • Serve as the Relias training  administrative back up
  • Serve as LEM administrative back up
  • Provide Patient Portal Password support
  • Assist Senior Leadership team in various projects, tasks, and initiatives as assigned
  • Other duties as assigned

 

Minimum Qualifications:

  • High School diploma, 4 year college degree preferred.
  • Demonstrated skill handling issues involving high levels of sensitivity and confidentiality
  • Demonstrated good judgment
  • Detail oriented; organized planner with the demonstrated ability to respond effectively and efficiently while maintaining flexibility
  • Skilled at anticipating problems, creating contingency plans, managing multiple priorities, problem solving and organizing logistics.
  • Ability to persuade and influence, establish personal credibility and trust, and foster collaborative working relationships
  • Proficient in Microsoft Office Suite.
  • Strong communication, listening, interpersonal, oral and written communication skills
  • Bi-lingual in English and Spanish strongly desirable
